We are building a world-class Human Resources department in the Olympia, WA area and looking for  a Payroll Manager who love to be in the numbers, pride themselves on the accuracy, enjoy continuous learning, look for opportunities to build for growth, and like to have fun!

The Payroll Administrator will initiate and coordinate the payroll functions for People, Pets and Vets, using the HRIS – ADP WorkForce Now software program. This position is responsible for ensuring that pay is processed on time, accurately, and in compliance with government regulations.  This position will also work with management to remain updated on all applicable employment laws and regulations as well as the establishment of and implementation of employee policies and procedures.  

Job Duties & Responsibilities

  • Primary administrator for use of HRIS – ADP WorkForce Now software program to calculate and process payrolls
  • Set up new Company codes and states for tax, banking and payroll or make company-level changes
  • Verify timekeeping records and consult supervisors to resolve discrepancies.
  • Ensure accurate and timely administration of garnishments.
  • Prepare manual checks as needed.
  • Initiate direct deposits and change employee banking records when necessary to process payments accurately.
  • Set up new PTO policies in ADP if/when needed.
  • Prepare and maintain accurate records and reports of all payroll transactions.
  • Manage the payroll portion of 401k Benefit and all employee enrollments and/or changes.
  • Manage multi-state minimum wage and pay rate changes and routinely research updates to ensure compliance.
  • Serve as point of contact for all payroll-related inquiries.
  • Maintain permission accesses in the ADP employer portal.
  • Ensure compliance with state and federal employment laws and regulations.
  • Maintain personnel files and an array of employment-related and payroll related forms.
  • Support office and practice managers in ADP support and Payroll related efforts.
  • Interface across the group of veterinary practices to ensure consistency and accuracy in the application of payroll policies and administration to ensure consistency.
  • Provide YTD payroll information and Ad hoc reports to Finance and other leaders as requested.
  • Serve as the point of contact for any payroll-related audits or investigations brought forth to the business.
  • Support Finance by providing records and/or documentation to auditors as requested.
  • Collaborate with management to implement organization-wide employment policies such as PTO and other leave policies.
  • Identify and recommend updates to payroll processing software, systems, and procedures as needed.
  • Support the HR team with special projects and key annual tasks such as Open Enrollment, Hospital Acquisition Integrations, etc.
  • Other duties as assigned

Qualifications

  • Education/Training: Bachelor’s degree preferred in business administration, accounting, human resources, or a related field is required.  
  • Experience: Minimum 2-3 years of experience in a payroll management position.  Prefer advanced training, PHR or SPHR certification. Experience in a veterinary or healthcare setting is a plus.
  • Technical Ability: Possess advanced knowledge of MS Office Suite products and ADP payroll software. Ability to create formulas, pivot tables, macros, and complete VLook-Ups in Microsoft Excel. Knowledge and understanding of payroll regulations (FLSA), wage/tax law, employment law, Affordable Care Act (including reporting measures) and record-keeping/administration required.  Perform routine automated functions with speed and accuracy.

Physical Conditions 

The employee must be able to perform the job under the following conditions:

  • Sitting, walking, standing, bending, reaching, and climbing stairs.
  • Times of high pressure and elevated levels of stress.
  • Able to lift 25 pounds.
  • Flexibility with work hours and travel, as needed.
